Privacy Policy

PhoenixCoolQuotes (“we,” “us”) operates phoenixcoolquotes.com, a free service that connects homeowners in the Greater Phoenix, Arizona area with independent, licensed HVAC contractors. This policy explains what we collect, how we use it, and who we share it with. The short version: when you submit a quote request, we share it with the contractors we match you with so they can contact you.
1. Information we collect
Information you provide. When you submit a quote request we collect your name, phone number, email address, ZIP code, the service you need, your timeframe, whether you own the home, and any project details you write. Contractors who request leads provide their name, company, trade, phone, email, license number, and service cities.
Information collected automatically. We record the date and time of your submission, the page you submitted from, the page you first landed on, your referrer, campaign parameters (UTM), your IP address, and your browser's user agent. If we have enabled ActiveProspect TrustedForm, an independent certificate of your form session (including a recording of the form page and your interactions with it) is created and stored by ActiveProspect to document your consent. We may also use cookies and similar technologies for analytics (see Section 6).
2. How we use information
- To match your request with local HVAC contractors and transmit it to them.
- To contact you about your request by phone, text message, or email, including confirming details or following up on your experience.
- To document your consent to be contacted, for compliance with the Telephone Consumer Protection Act (TCPA) and similar laws.
- To detect fraud, spam, and abuse, and to secure the site.
- To measure and improve our website and marketing.
3. Sharing with matched contractors
When you submit a quote request, we share the information you provided (Section 1) with up to 4 independent HVAC contractors selected based on your location and service needs. Those contractors are independent businesses, not our employees or agents. They use your information to contact you about your request and are responsible for their own privacy practices once they receive it. We are compensated by contractors for the requests we provide them. We do not sell your information to data brokers or to unrelated national marketing lists.
4. Consent to be contacted (TCPA)
By checking the consent box on our form, you agree that PhoenixCoolQuotes and the matched contractors may contact you at the number and email you provided by phone call, text/SMS, and email, including using an automatic telephone dialing system or a prerecorded or artificial voice, even if your number is on a federal or state Do Not Call list. Consent is not a condition of purchasing any goods or services. Message and data rates may apply. You may revoke consent at any time by replying STOP to any text, by telling a caller you no longer wish to be contacted, or by emailing us at jeff.lam@swellpointventures.com. We store the exact consent language and its version identifier with every request.
5. Other sharing
We share information with service providers who help us operate the site and deliver requests (for example, hosting, email delivery, SMS delivery, analytics, and consent-certification providers such as ActiveProspect). We may disclose information when required by law, to enforce our Terms, or to protect the rights, property, or safety of PhoenixCoolQuotes, our users, or others. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
6. Cookies and analytics
We use first-party browser storage to remember your landing page and campaign parameters for the duration of your visit. If enabled, we use analytics tools (such as Google Analytics or Plausible) that may set cookies or collect usage data to help us understand traffic and conversions. You can control cookies through your browser settings; disabling them will not prevent you from submitting a request.
7. Data retention
We retain quote requests, consent records, and related metadata for as long as necessary to fulfil the purposes above and to comply with legal obligations, including TCPA consent record-keeping (generally at least five years). Contractor inquiries are retained while we maintain a business relationship and for a reasonable period afterward.
8. Your choices and rights
You can ask us to correct or delete your information, or to stop contacting you, by emailing jeff.lam@swellpointventures.com. Depending on where you live, you may have additional rights (such as access, portability, or opting out of certain sharing) under state privacy laws. We will honor verified requests as required by applicable law. Note that once your request has been sent to a matched contractor, you will need to contact that contractor directly to exercise rights regarding their copy of your information.
9. Security
We use reasonable administrative and technical safeguards to protect your information, including encrypted transmission (HTTPS). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Children
Our services are intended for adults who own or are responsible for a residence. We do not knowingly collect information from anyone under 18.
11. Changes
We may update this policy from time to time. The effective date at the top will change, and material changes will be noted on this page.
